Job Requirements/Description

We're looking for a highly organised and detail-focused Buying Administrator to join our fast-paced Buying team at Pavers Head Office in York, Northminster Business Park. This is a permanent, part-time role working 24 hours per week over three days, with the option to consider the hours across four days if preferred.

About the role

You'll play an important role in keeping our Buying operations running smoothly, ensuring pricing, purchase orders, invoices, supplier claims and key system information are processed accurately and on time. Acting as a central point of coordination between Buying, Finance, Quality/Compliance and suppliers, you'll help ensure key processes are followed, discrepancies are resolved, and relevant rebates, deductions and credits are accurately tracked.

  • Process and communicate all price increases, reductions and promotional pricing updates through internal systems.
  • Process seasonal product tree moves and ensure accurate communication across the business.
  • Maintain pricing accuracy across internal systems, identifying and resolving discrepancies.
  • Raise purchase orders for buying-related expenditure through Sage.
  • Verify supplier invoices and agent commission invoices, investigating and resolving discrepancies.
  • Raise Purchase Ledger Forms and onboard new suppliers onto internal systems.
  • Work closely with Finance to rectify supplier invoice discrepancies.
  • Coordinate supplier claims relating to quality, compliance and commercial deductions.
  • Track debit notes, credit notes and supplier recoveries until fully resolved.
  • Liaise with Buying, Quality and Finance teams to ensure supplier deductions are correctly applied. Maintaining an accurate Supplier Claims Log.
  • Coordinate the Buying team's critical path, communicating key milestones and escalating risks where required.
  • Manage annual leave planning within the Buying Support team to ensure adequate operational cover.
  • Identify opportunities to improve administrative processes and support automation initiatives.

What we’re looking for

  • Previous administration experience in a high-volume processing environment.
  • Excellent organisational skills with the ability to manage multiple deadlines.
  • High level of accuracy when processing financial and product information.
  • Confident communicating with suppliers and internal stakeholders.
  • Strong Microsoft Excel skills.
  • Experience using ERP systems such as Sage is a bonus
  • Comfortable learning new business systems.
  • Previous experience within Buying, Merchandising, Finance or Supply Chain is desirable.

The Pavers story began in York in 1971 when Catherine Paver took out a £200 bank loan (for a sofa she told them) to fund her new business. She had big dreams of changing the world of footwear and a passion to provide comfortable and stylish shoes for all.

Starting small, she sold shoes at village halls and homeware parties before opening the first Pavers shop in Scarborough in 1981, when Catherine’s three sons joined the business. One of her sons, Stuart, ran the business as Managing Director for over 40 years, joined by his son Jason in 2016. As of September 2023, Jason Paver is now the Managing Director of Pavers Ltd, with Stuart Paver moving to Chairman, taking the company into the 3rd generation of family run leadership.

From these modest beginnings, Pavers Shoes has grown to be a UK leader in today’s footwear industry, with over 180 stores nationwide encompassing our more recently acquired brands including Jones Bootmaker, Herring Shoes, Padders & Van Dal.
